What to think about when arranging transportation for your wedding guests:

Providing transportation options for your wedding guests is certainly not something you have to do but it is definitely something that can help enhance the overall wedding experience for your guests.

If your wedding reception is at a location where your guests will not be staying, as planners we always suggest you provide some form of transportation for your guests so that they are not forced to drive. Providing transportation options to your guests helps to keep them on schedule for your events and is a safe and simple alternative to having them drive home at the end of the evening. Also, if your reception is at your home or tented in an area with minimal parking, providing a shuttle service will help alleviate any potential parking nightmares.

Things to consider:

- Distances between your Ceremony location and Reception location.

- Distances between your Reception location and your guest’s accommodations.

- Where your guests have traveled from.

- Are they from out of state or local residents?

Full transportation Options:

- Shuttles from all hotels to ceremony and reception then back to hotels at the end of the night.

- Vehicle Options: 14 passenger buses, coach buses, limousines, trolleys.

Partial Transportation Options:

- Shuttles for end of night only so guests don’t have to drive back after the party has ended.

How to inform your guests that transportation will be provided:

This information can be provided with your invitations, on your wedding website, or, if you are giving welcome baskets to your guests, you might want to consider putting an information sheet in your baskets giving the pick-up times and locations. It is also a good idea to inform the hotels where your guests will be staying so the concierge is prepared to answer any questions your guests might have about the transportation. At the very least you could make a simple announcement at the rehearsal dinner the night before reminding guests of the available transportation.
